Indoor events have power everywhere. Outdoor ones often do not, or not where you need it. Ask about the power source and the cable routing before the design conversation feels finished. Planning for the day going wrong
An outdoor date carries weather risk. Ask early: what the contingency looks like. Knowing whether the setup can move under cover, whether the date can shift, and who decides takes the pressure off the week of.
What tends to matter at an event
Two categories: mood and function. Atmosphere lives overhead and at the focal point. Function means the route in, the steps and the way out, and it gets forgotten until somebody trips. Both need to be in the plan. Only one of them gets remembered fondly.
The venue gets a vote
Venues have rules, and finding them out late is expensive. Access windows, load in times, attachment restrictions, and the strike deadline belong to the property. Introduce them early. It is free and it saves the most.
Scale
The instinct with an event is to fill the space. Outdoors after dark, the eye adapts and small amounts read as plenty. Contrast is what makes an evening look like an occasion. Even brightness does not. A designer who says the plan is already enough is usually right.
